Role Responsibilities:
As an Administrative Operations Coordinator, you will play a crucial role in delivering administrative and operational support. Your responsibilities will include assisting leadership with documentation management, scheduling, meeting coordination, travel arrangements, and performance tracking.
Key Responsibilities:
- Provide comprehensive administrative assistance to the leadership team as needed
- Support the collection, entry, tracking, and reporting of key performance indicators (KPIs)
- Assist in the execution of projects and resolution of non-conformities requiring data management and documentation
- Manage document control processes effectively
- Support project managers with meeting documentation, weekly updates, and compliance administration
- Coordinate and manage updates to standard operating procedures (SOPs)
- Establish and maintain an organized filing system in accordance with best practices
- Order and manage supplies necessary for operational support
- Adhere to all safety and environmental protocols in performing duties
- Undertake additional responsibilities as assigned
Ability to work in a collaborative office environment with potential distractions. Willingness to travel occasionally as required.
Qualifications:
- High School Diploma or equivalent is required
- Associate's degree in Business Administration or a related field is preferred
- A minimum of two years of experience in an administrative or operational support role is required
- Familiarity with complex documentation and regulatory standards is advantageous
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential
- Strong written and verbal communication skills to interact effectively with all levels of the organization
- Exceptional attention to detail and organizational skills are crucial
- Ability to anticipate project needs and provide necessary support
