Job Summary

We are seeking a highly skilled and experienced Administrative Support Specialist to join our team at Next Level Business Services, Inc. This is a senior-level position that requires a high degree of proficiency in administrative support, with a focus on providing exceptional service to C-level executives and executive-level administrative support staff.

The successful candidate will have a strong background in calendar and schedule management, correspondence and email management, and telephone call management. They will also have experience in providing back-up support for other administrative assistants, maintaining office efficiency, and organizing office operations.

In addition to these responsibilities, the Administrative Support Specialist will assist with activities related to pre-boarding and on-boarding new staff members, manage conference room schedules, order office supplies, and assist with facilities and equipment-related issues.

The ideal candidate will have a high school diploma and 10+ years of experience providing administrative support to a large organization, with a proven track record of progression up to executive levels. They will also have strong oral and written communication skills, including good listening, and be highly organized and able to multi-task in a fast-paced environment.

Responsibilities:

  • Provide administrative support to C-level executives and executive-level administrative support staff
  • Manage calendars and schedules for multiple time zones
  • Assist with correspondence and email management
  • Provide back-up support for other administrative assistants
  • Maintain office efficiency and organize office operations
  • Assist with pre-boarding and on-boarding new staff members
  • Manage conference room schedules
  • Order office supplies and assist with facilities and equipment-related issues

Requirements:

  • High school diploma required, four-year college degree preferred
  • 10+ years of experience providing administrative support to a large organization
  • Proven track record of progression up to executive levels
  • Strong oral and written communication skills, including good listening
  • Highly organized and able to multi-task in a fast-paced environment
  • Proficient in Microsoft Office products, including Outlook, PowerPoint, Word, Excel, and SharePoint
