Accounts Payable Specialist Job Description

Under the direction of the Accounts Payable Supervisor, the Accounts Payable Specialist performs various activities related to the accounts payable functions of Lutheran Social Services of the Southwest. The ideal candidate will provide excellent customer service to managers and associates, possess strong knowledge of AP taxes, AP reconciliations, and reporting, and be well-versed in AP procedures.

Key Responsibilities:
  • Pays vendors by monitoring discount opportunities, verifying federal Tax Id numbers, scheduling and preparing checks, resolving purchase order, contract, invoice, or payment discrepancies and documentation, ensuring credit is received for outstanding memos, issuing stop-payments or purchase order amendments.
  • Generates open items list of accounts payable and recommends items for payment. Prepares and distributes accounts payable checks.
  • Performs monthly reconciliation of the accounts payable open items list to the general ledger.
  • Enters Imprest bank accounts payments and petty cash accounts on a monthly basis.
  • Responsible for opening mail and distributing mail daily, separating mail from checks, and preparing Daily Cash Log.
  • Acts as backup for other finance functions, when needed.
  • Communicates with Employees and Vendors to coordinate proper payments and coding for entry to AP.
  • Prepares 1099s with the Accounting Manager on Year End.
Requirements:
  • Bachelor's degree or equivalent in accounting or a related field; and two to four years related experience in accounts payable, and general ledger reconciliation's, or equivalent combination of education and experience.
  • Knowledge of payroll processing. Operation of 10-key calculator by touch and typing by touch is essential.
  • Excellent oral and written communication skills. Ability to read, analyze, and interpret accounting journals, financial reports, and other documents common to accounting or administrative functions.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with abstract and concrete variables.
Working Environment:

The work environment is quiet, and the employee is required to sit regularly, use hands to hold objects and use business equipment, talk and hear, and occasionally stand, walk, and reach with hand and arms. The employee must occasionally lift and/or move up to 25 pounds.
