Key Responsibilities:
Manages the processing of live birth certificates, fetal death certificates, neonatal death certificates, and maintains accurate logs for births and abortions. This role necessitates a high level of professionalism and courtesy when interacting with both internal and external stakeholders.

PRIMARY DUTIES AND RESPONSIBILITIES
Engages with patients daily to clarify the procedures for completing birth certificates.

Ensures the accurate completion of birth certificate worksheets and inputs data into the Electronic Birth Certificate System in compliance with vital records regulations.

Sends confirmation letters to patients prior to or following discharge.

Prints and verifies original birth certificate copies, ensuring all necessary information is complete by referencing the parents' medical records.

Secures physician signatures and other required information as mandated.

Records newborn names in the hospital's birth register and the Master Patient File Index.

Submits original birth certificate copies to the relevant health department and vital statistics bureau.

Handles inquiries and provides information regarding birth certificates and related matters.

Maintains a death log and submits bi-weekly reports to the state vital records unit.

Performs various clerical tasks, including maintaining logs and files, and transcribing information across documents.


Advises patients (or newborn's parents) on how to obtain social security numbers, certified copies of birth certificates, and membership in the Northside Baby Club.

Orders necessary worksheets and forms for birth certificates and stillbirths from appropriate state agencies. Collects information and processes stillbirth certificates, including therapeutic cases.

Ensures the accurate completion of paternity acknowledgments in accordance with state law.

Qualifications:

REQUIRED:

  • Minimum of one (1) year experience in a clerical or customer service role. 2. Proficient data entry skills. 3. Familiarity with basic medical terminology. 4. Strong interpersonal skills.

PREFERRED:

  • At least one (1) year of experience in a medical records department. 2. Knowledge of electronic birth systems. 3. Associate degree in a public relations or related field. 4. Typing speed of 40 words per minute.

8AM-6PM
