The Customer Service Associate I plays a vital role in a business-to-business environment, ensuring the accurate resolution of inquiries and issues related to processing for designated clients. This position is committed to providing timely responses to inquiries while upholding a high standard of customer satisfaction.

KEY RESPONSIBILITIES:

  1. Independently evaluates issues and processes, delivering clear communication, both verbally and in writing, regarding routine inquiries, processing challenges, and requests in accordance with company-defined procedures and standards.
  2. Conducts research and analysis of payment histories, identifying when to engage with vendors or customers to resolve discrepancies and make timely payment decisions for all clients.
  3. Acts as a positive ambassador for the company, prioritizing customer needs and fostering strong relationships with clients.
  4. Keeps management informed of significant issues that may require additional attention or could jeopardize client relationships in a timely manner.
  5. Proposes modifications and enhancements to existing procedures to elevate service quality for clients and streamline internal processes.
  6. Collaborates independently and with other internal departments to ensure accurate file maintenance and updates to client validation files/databases.
  7. Seeks guidance from appropriate resources on significant non-routine matters.
  8. Documents and reports errors made by other departments within the organization.
  9. May be required to work overtime as necessary.
  10. Performs other duties as assigned.

SKILLS AND QUALIFICATIONS:

  • Excellent interpersonal skills to enhance client responsiveness and foster solid working relationships with utility clients and staff members.
  • Strong organizational abilities to manage multiple tasks simultaneously.
  • Proficient in the use of office equipment such as fax machines, copy machines, and telephones, as well as Microsoft Office applications.
  • Effective problem-solving skills and meticulous attention to detail.
  • Completion of college-level coursework in general or business administration or equivalent experience.
  • A minimum of 6 months of customer service experience in a general business setting or equivalent experience.
