Job Description Summary

This role is essential in adhering to FERPA guidelines while providing professional support to all student demographics in various aspects of registration and records management. Responsibilities include processing transcript requests, grade modifications, enrollment verifications, manual registrations, registration overrides, and maintaining student records. Exceptional customer service is paramount when assisting the university community and the public at the Registrar's Office.

Minimum Qualifications
  • 2 years of experience in customer service
  • 1 year of clerical or office experience
  • Strong communication skills
  • Critical thinking abilities
  • Attention to detail
  • Proficiency in word processing and spreadsheet software
  • Experience with relational databases
Preferred Qualifications
  • Experience in higher education
  • Familiarity with student information systems, such as Banner
  • Bachelor's degree preferred
  • Proficiency in Microsoft Office Software
  • Fluency in Spanish

Specific Duties

REGISTRATION

1. Assist students, staff, and faculty with MyLaVerne navigation and manual registration processes, including grade option changes and registration overrides, in accordance with university policies.

2. Resolve common registration issues and communicate university policies effectively.

3. Process leave of absence and withdrawal requests.

4. Provide exceptional customer service at the front counter and through the main Registrar phone line and email.

TRANSCRIPTS & VERIFICATIONS

1. Manage the receipt, processing, packaging, and mailing of official transcripts.

2. Assist students with transcript order troubleshooting and general inquiries.

3. Conduct research and respond to verification requests in compliance with FERPA and university policies.

4. Collaborate with Registrar staff to assist students with the apostille process.

STUDENT RECORD MAINTENANCE

1. Process third-party access and privacy requests in line with FERPA and university policy.

2. Support end-of-term processing, including grade submission and academic standing checks.

3. Ensure data integrity in student records, verifying and updating information as necessary.

4. Research and resolve duplicate records in collaboration with other offices.

5. Scan and index student documentation for archival purposes.

1. Assist in building and maintaining class schedules in the student information system.

2. Participate in testing new technologies used in the Registrar's Office.

3. Support the Lead Registration Specialist with undergraduate academic appeals as needed.

4. Contribute to Commencement-related activities.

6. Provide quality customer service.

7. Assist with additional projects as assigned by Registrar Office leadership.
