Key Responsibilities:

Reception Duties:

Oversee incoming communications, provide a welcoming atmosphere, and prepare for meetings. Responsibilities include answering and directing phone calls, greeting office visitors, arranging refreshments, and setting up meeting areas.

Administrative Support:

Coordinate travel and accommodation for key personnel and events, while organizing and maintaining financial records related to yachts. This includes logistics management for boat shows and regattas, overseeing accounts for the company and yachts such as satellite communications and mobile devices, and reconciling monthly invoices.

General Office Management:

Handle correspondence, mail, and shipping services, both international and domestic. Responsibilities also include managing inventory and ordering essential office supplies. Provide general office support by maintaining office equipment and coordinating building maintenance. Communication tasks involve distributing newsletters, promotional emails, and other bulk mailings, as well as serving as a public relations liaison with PR firms, yacht owners, and shipyards. Maintain the company's contact database.

Yacht Management Assistance:

Support yacht operations by maintaining critical management files, coordinating travel arrangements for yacht crew and management, and ensuring proper documentation for international travel. This role also includes managing accommodations, updating flight bookings, keeping yacht profiles current, and liaising with vendors for competitive pricing and services. Develop and maintain a global network of yacht/ship agents to ensure smooth maritime operations.

Regatta Coordination:

Oversee shoreside accommodations and travel arrangements for major regattas.

Procurement Management:

Manage yacht supplies by obtaining quotes, reviewing them with relevant stakeholders, and issuing purchase orders. Maintain a database of purchases, research products for fleet discounts, and handle payments through credit cards. Effective communication with the captain, crew, and yacht managers regarding order statuses and shipping details is essential for seamless operations.

Shipping and Receiving:

Oversee international and domestic vessel shipments, manage package receipts, organize inventory, book and track shipments, create commercial invoices, handle returns, and communicate with shipping companies. Collaborate with captains, crew, and yacht management staff to ensure timely and efficient shipping processes.

The ideal candidate should possess strong organizational skills, excellent communication abilities, and a keen attention to detail. Critical thinking and the ability to anticipate needs and priorities are essential. A professional and team-oriented demeanor is required, along with the ability to work independently and collaboratively. Exceptional customer service skills and experience with high-end clients are highly valued. A high degree of discretion and confidentiality is mandatory. Proficiency in Microsoft O365 (Teams, Word, Excel, Outlook) is preferred.

This is a Full-Time position based in the Newport office.
