Job Title: Portfolio Assistant

At Kidder Mathews, we are seeking a highly organized and detail-oriented Portfolio Assistant to join our team. As a Portfolio Assistant, you will play a critical role in the day-to-day management of our commercial properties, ensuring seamless operations and exceptional customer service.

Key Responsibilities:
  • Partner with Managers and leasing team members to ensure vacant space is in market-ready condition
  • Maintain building floor plans, vacant space log, and stack plans
  • Coordinate approval and tracking of leases, contracts, notices, and other time-sensitive documents
  • Distribute lease documents to Owners, Administrative Assistants, and Tenants
  • Coordinate signage, keys, and distribution of property information sheets to Tenants
  • Receive, code, and track all invoicing related to lease commissions
  • Assist Managers with annual budgeting process, including re-bid of service contracts
  • Prepare new vendor setup forms for approval by Managers
  • Request appropriate insurance information from new vendors
  • Assist with collection of delinquencies by contacting Tenants and preparing demand notices and pay or vacate notices
Requirements:
  • 2+ years of commercial property management experience
  • PC literate (Internet, Word, Outlook, Microsoft Office Suite) with strong Excel skills
  • Excellent communication and organizational skills
  • Ability to build relationships with clients, vendors, and internal partners
  • Strong customer service skills with ability to interface with prospective Tenants, Owners, employees, and management
Work Environment:

This is a standard office environment with standard office noise like talking, office equipment, etc.

The employee must frequently sit and use a computer for long periods of time. Specific vision abilities are required to do this job including close vision. The employee must be able to conduct physical inspections and tours, to include the use of stairs and roof access ladders. The employee must sometimes lift and/or move items up to 10 pounds.
