About the Role

We are seeking a highly skilled and detail-oriented Client Services Representative to join our team at Cetera Financial Group. As a key member of our operations team, you will play a critical role in supporting our Financial Advisors with their day-to-day activities, ensuring seamless client service and experience.

Key Responsibilities
  • Act as a liaison between Financial Advisors and their clients, providing exceptional customer service and support.
  • Answer phones, schedule appointments, and prepare materials for client meetings, ensuring timely and efficient communication.
  • Aid Financial Advisors in preparing client illustrations, graphs, charts, reports, and other materials for presentations and appointments.
  • Prepare and complete client paperwork, following up on tasks to support Financial Advisors.
  • Engage with clients via phone, virtual visits, and in-person meetings to ensure their service level needs are met.
  • Organize client events and follow-up tasks, maintaining client records and retention management within corporate requirements.
  • Conduct proactive outreach to clients and Financial Advisors on time-sensitive activities, such as RMDs and client reviews.
  • Assume ownership of inquiries and requests, communicating with internal departments to ensure timely service delivery.
  • Educate clients on account services, capabilities, and new technology, promoting a positive and informed experience.
  • Complete required corporate training on new technologies and follow implementation guidelines, staying up-to-date with industry developments.
  • Maintain compliance guidelines, client communication notes in AdviceWorks/SmartWorks and Redtail, adhering to Cetera standards.
  • Collaborate with Financial Advisors through weekly meetings to maintain their Business Plan process, tasks, marketing, and client communication expectations.
Requirements
  • High School Diploma or GED
  • Experience in an administrative or customer service role
  • Strong time management skills
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office tools (Word, Excel & PowerPoint) and ability to learn new programs
Preferred Qualifications
  • Previous experience in assisting Financial Advisors/Registered Representatives
  • Financial services and/or banking background
  • Bachelor's degree in Finance, Business, Marketing, or Communications
  • Attention to detail, excellent organization skills, ability to multi-task and produce timely results in a fast-paced work environment
  • Able to manage own workflow and priorities, accommodating unexpected requests or needs from Financial Advisors
  • Self-starter, productive, works well with a team and independently
  • Professional and positive attitude, friendly demeanor both in-person and by telephone
  • Trustworthy; uses discretion with confidential information
  • Listens well to instruction and consistently retains details
