Job Overview This position plays a crucial role in supporting the financial management of grants and payroll operations. The individual will ensure that the organization effectively manages, modifies, invoices, and closes out grants, contracts, and awards in compliance with all relevant regulations and requirements. The primary responsibility includes facilitating the organization and completion of grant deliverables, ensuring that monitoring tools are established, and maintaining audit readiness at all times. This role serves as the primary contact for the Payroll Manager regarding administrative support. Key Responsibilities
  • Pre-Award Phase: Grants Monitoring:
    • Coordinate and log the receipt of award and contract documentation related to grant budgets.
    • Monitor and update the tracking system to ensure timely completion by relevant departments.
    • Prepare monthly dashboards summarizing key performance indicators for senior management.
    • Review incentive logs to ensure proper distribution.
    • Verify health benefit coverage for employees assigned to grants prior to invoicing.
    • Review capital expenditures to ensure proper documentation and categorization.
    • Maintain change management tracking for grant-funded positions.
    • Document grant modification requests with necessary approvals.
  • Reporting:
    • Create and maintain a calendar for grant reports and invoices, providing timely communication to relevant staff.
  • General Ledger Support:
    • Record journal entries as requested and prepare deposits.
  • Record Keeping:
    • Archive and maintain electronic files of all contracts and grants.
  • Audits:
    • Assist in the preparation for ongoing financial audits, including communication and follow-up on requests.
  • Training:
    • Stay informed on current federal issues related to grants and audits.
  • Payroll Support:
    • Prepare and process manual checks and facilitate payroll inquiries.
    • Set up new employees in the procurement system.
    • Coordinate with HR to correct employee department assignments.
  • Cross Training:
    • Train on payroll processing as needed and perform special projects as assigned.
Qualifications
  • AA degree in a related field or equivalent experience.
  • One to two years of relevant experience, including finance.
  • Strong organizational and analytical skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects and meet deadlines.
  • Proficient in Microsoft Office and adaptable to new systems.
