Job Summary

We are seeking a highly organized and detail-oriented Billing Coordinator to join our team at Consultative Search Group. The successful candidate will be responsible for maintaining and managing client and matter master billing files, ensuring accurate and timely processing of data.

Key Responsibilities
  • Manage the workflow of client rate change and set-ups in assigned regions, opening new client matters and validating conflicts data for accuracy and completeness.
  • Evaluate and input appropriate billing and exception rates into the Elite billing system.
  • Coordinate with attorneys, legal secretaries, and accounting personnel regarding receipt of required data, supporting documentation, and approvals in accordance with billing policies and procedures.
  • Maintain and manage client and matter accounts, billing files, and record archives.
  • Ensure timely workflow of the Master File process, following up with practice offices to ensure accurate and timely processing of matter maintenance.
  • Provide Master File support and guidance to practice offices.
  • Verify and open all client matter master set-ups, including billing rates and exception rate hierarchies.
  • Confirm client arrangements for special rate needs.
  • Ensure file set-up is done appropriately.
  • Provide day-to-day customer support via telephone and email to all levels of employees at practice offices.
  • Complete projects on various issues as needed.
Requirements

The ideal candidate will have a high school diploma and a minimum of 3 years of experience in legal billing or billing audit. A Bachelor's degree in Accounting, Business Administration, or a related field is preferred. Experience with Elite is also preferred. The successful candidate will have knowledge of basic accounting principles, analytical skills, and the ability to comprehend and accurately perform mathematical functions.

The successful candidate will also have well-developed and professional interpersonal skills, the ability to work in a team environment with a customer service focus, and the ability to handle confidential and sensitive information with discretion.
