Job Summary

We are seeking an experienced Event Planning Specialist to join our team at Stanford University. The successful candidate will be responsible for managing a wide range of events, including conferences, seminars, and workshops.

Key Responsibilities
  • Plan and coordinate events from conception to execution, ensuring seamless delivery and high-quality outcomes.
  • Develop and manage event budgets, ensuring effective financial management and control.
  • Collaborate with internal stakeholders, including faculty, staff, and students, to identify event needs and develop solutions.
  • Coordinate with external vendors, including caterers, audio-visual technicians, and event staff, to ensure timely and efficient delivery of services.
  • Manage event logistics, including venue selection, catering, and audio-visual equipment.
  • Develop and implement event marketing strategies to promote events and engage attendees.
  • Monitor and evaluate event outcomes, identifying areas for improvement and implementing changes as needed.
Requirements
  • Bachelor's degree in a related field, such as event management, hospitality, or business.
  • Minimum 3 years of experience in event planning, preferably in a higher education or research institution.
  • Excellent project management skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Strong communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
  • Ability to work independently and as part of a team, with a high level of flexibility and adaptability.
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint, as well as event management software.
Preferred Qualifications
  • Master's degree in a related field.
  • Experience with event management software, such as Eventbrite or AllSeated.
  • Knowledge of audio-visual equipment and technical requirements.
  • Experience with budgeting and financial management.
