Role Summary:

The Development Services Coordinator will work under the guidance of the Director of Advancement Services and Data Management, assisting with all aspects of database management and gift processing to support the goals of the Advancement program. This role will involve interaction with various stakeholders, including parents, alumni, and other community members.

Key Responsibilities:
  • Accurately input and process donations and transactions daily, ensuring all supporting documentation is recorded and scanned, while generating receipts and acknowledgment letters. Confidentiality and security of all financial information are paramount.
  • Update and maintain records for alumni, current parents, grandparents, students, faculty, and staff, including contact information and biographical details.
  • Create and manage new constituent records for parents, students, and staff.
  • Document athletic participation, performances, and achievements in student records, as well as college-related information for alumni.
  • Adjust constituent codes at the start of each fiscal year.
  • Collaborate with the advancement team to verify and correct inaccurate addresses.
  • Assist the parent and alumni engagement team in producing solicitation letters and support the Director in managing event software and ensuring data accuracy.
  • Provide logistical support for advancement events, including compiling invitation lists, managing RSVPs, and preparing name tags.
  • Perform additional tasks as assigned by the Director of Advancement Services and Data Management.
Qualifications:

Applicants should possess:
  • A Bachelor's degree.
  • 2-3 years of relevant experience, ideally within an independent school environment.
  • Familiarity with Raiser's Edge is preferred.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Strong attention to detail, organizational, analytical, and planning skills.
  • Ability to prioritize tasks effectively and manage multiple responsibilities.
  • Independence and initiative in executing job functions.
  • A commitment to confidentiality and accuracy in donor records.
  • A collaborative spirit and ability to work well within a team.
  • Effective communication skills and the ability to relate to a diverse range of individuals while maintaining confidentiality.
  • Problem-solving skills coupled with integrity and a dedication to the school's mission.
Physical Requirements:
Must be capable of sitting, standing, walking, bending, and lifting during the workday, with the ability to lift up to 25 pounds.
