Key Responsibilities
  • Assist the Hearing Care Professional (HCP) with various administrative and office tasks throughout the patient journey.
  • Effectively manage the scheduling system to optimize testing opportunities.
  • Engage with current, past, and prospective patients through various outreach methods, tracking and reporting on appointment outcomes.
  • Support the HCP in local marketing and sales initiatives, focusing on building community connections and referral sources.
  • Professionally handle incoming phone calls and messages, ensuring timely follow-up with patients.
  • Accurately process and document clinic forms to comply with HIPAA and state regulations (including patient records, financial documents, and insurance agreements).
  • Verify patient eligibility and submit insurance claims, overseeing the process until claims are successfully funded.
  • Manage cash reconciliation and oversee Accounts Receivable and Payable, including bank deposits.
  • Maintain a tidy and inviting office environment.
Qualifications
  • High School diploma or equivalent is mandatory.
  • A minimum of 2 years of office experience is preferred.
  • 2 years of experience in sales and customer service is advantageous.
  • Proficiency in MS Office is required.
  • Flexibility in working hours and days is essential.
  • A positive attitude and a collaborative spirit are vital.
