Role Summary
The Mailroom Client Services Representative is tasked with ensuring the efficient handling and delivery of various assignments on-site, focusing on exceptional customer service and satisfaction.
Your Contributions
Key Responsibilities:
- Proactively communicates with supervisors regarding potential issues or customer inquiries.
- Efficiently manages and responds to requests from management and clients through various communication channels.
- Maintains a strong emphasis on delivering excellent customer service.
- Aids in the development of the Site Procedure Guide to document all operational processes accurately.
- Duties may encompass Copy/Print Production, Copier Maintenance, Mail/Courier Services, Reception/Office Services, Shipping/Receiving, Inventory Services, and File Room/Records Management based on the assigned location.
- Participates in cross-functional training to ensure coverage capabilities during staffing shortages.
- Responsibilities and location may vary based on client and division requirements.
Mail/Courier Services Responsibilities:
- Ensures the timely and precise handling of receiving, sorting, delivering, picking up, and processing all courier items, interoffice mail, and various classes of postal services.
- Monitors and tracks courier and accountable items (e.g., FedEx, UPS, Certified Mail).
- Investigates and directs unidentified and generic mail appropriately.
- Receives, logs, delivers, and tracks messenger items efficiently.
- Addresses customer inquiries promptly.
- Conducts routine maintenance of equipment.
- Records and monitors customer requests and the fulfillment of those requests.
Shipping/Receiving Duties:
- Manages the shipping and receiving of incoming and outgoing packages, materials, and products, ensuring accurate record-keeping of all shipments.
- Accepts shipments, counts items, retains shipping documentation, follows delivery schedules, and secures customer signatures.
- Operates shipping/receiving equipment, responds to customer requests, performs data entry, and maintains inventory records.
Candidate Profile
Essential Skills and Qualifications:
- High School Diploma, GED, or equivalent experience required, with less than one year of relevant experience.
- Basic computer skills and technical knowledge.
- Strong customer service and communication abilities.
- Willingness to work overtime as necessary.
- Must complete all necessary steps to obtain security and/or other clearances required by clients.
- May require travel between multiple client locations; a valid driver's license and acceptable driving record are necessary.
- Ability to lift up to 50 lbs.
- Capability to stand, bend, walk, reach, and pull for extended periods while performing duties.
- Ability to work independently with minimal supervision.
- Proficient in multitasking and prioritizing tasks to meet deadlines.
