Position Overview:

The Front Desk Receptionist plays a crucial role in the daily operations of Children's Aid, providing essential support to the organization's mission of enhancing the lives of children and families. This position is responsible for managing the reception area and ensuring a welcoming environment for all visitors.

Key Responsibilities:

  1. Uphold and promote the organization's Mission, Vision, and Core Values in alignment with established policies and procedures.
  2. Provide comprehensive reception coverage, maintaining an organized and professional reception area.
  3. Welcome visitors, address inquiries, and issue identification badges for guests.
  4. Assist security personnel as necessary, offering directions and notifying staff of guest arrivals.
  5. Manage a multi-line phone system, directing calls to appropriate extensions or taking messages for timely delivery.
  6. Maintain a log of building access, tracking entries and exits.
  7. Receive and sort deliveries and mail, ensuring proper distribution to recipients.
  8. Coordinate meeting room reservations using public calendars, optimizing space utilization.
  9. Oversee logistical arrangements for meetings, including audio-visual needs, catering requests, and room setups.
  10. Ensure the functionality of A/V equipment, Wi-Fi, and conference phones in meeting spaces.
  11. Maintain the cleanliness and organization of conference rooms and common areas, reporting any maintenance issues.
  12. Act as a point of contact during the absence of the Office Manager.
  13. Foster strong relationships with office stakeholders and team members.
  14. Perform additional duties as assigned to support organizational needs.

Qualifications:

  • High School Diploma or GED is required.
  • Bilingual proficiency in Spanish and English is required.
  • Proficient in Outlook calendar and email management.
  • A minimum of two years of experience in a front desk or reception role is required.

Essential Skills:

  • Excellent written and verbal communication abilities.
  • Understanding of the mission of Children's Aid and its relevance to site management.
  • Professional demeanor and appearance at all times.

This position requires flexibility in scheduling to meet departmental needs, ensuring effective collaboration and communication within the team.
