Adult Education Intake Coordinator

Job Overview
The Part-Time Enrollment Specialist for Adult Learning is responsible for addressing inquiries related to Adult Education ESOL/GED class schedules and fees. This role involves meeting with students to facilitate the smooth operation of the Adult Education program.
This position collaborates closely with campus staff to enhance student services.
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:
- High School Diploma or GED equivalent from a regionally accredited institution; or an Associate's degree.
- Proficient in computer operations and keyboarding skills.
- Previous customer service experience is preferred.
KEY JOB FUNCTIONS AND RESPONSIBILITIES:
- Welcoming and assisting the public via phone and in-person in a courteous and professional manner.
- Taking telephone messages and scheduling clients for assessments and appointments.
- Providing support to adjunct instructors with electronic attendance tracking.
- Contacting students with excessive absences and assisting in maintaining departmental files and records in accordance with confidentiality policies.
SPECIFIC DUTIES AND RESPONSIBILITIES:
- Managing multi-line phone systems and responding to inquiries about the ESOL/GED program.
- Maintaining Outlook calendars and scheduling new intake facilitation appointments.
- Making reminder calls for scheduled assessments.
- Inputting student applications, assessment scores, and other relevant data into the college's registration system.
- Assisting students with registration, scheduling, holds, edits, transient student processes, residency for tuition purposes, and program changes.
- Performing filing, copying, and sorting of mail.
- Understanding college organization, goals, objectives, policies, and procedures.
- Demonstrating strong customer service skills and the ability to learn program details quickly.
- Knowledge of class offerings in the Adult Education Program.
- Ability to follow both oral and written instructions.
- Exhibiting excellent interpersonal and communication skills.
- Projecting a positive image of the college and its programs.
- Working effectively in a diverse, multi-ethnic, and multi-cultural environment with students, faculty, and staff.
- Providing initial assistance to students regarding web admissions.
- Ensuring accurate processing of admissions and registration records requests.
- Completing other assigned tasks as directed.
PHYSICAL REQUIREMENTS:
This position requires the ability to sit, stand, walk, bend, lift, reach, stoop, and occasionally carry items weighing over twenty-five (25) pounds.
It also necessitates manual dexterity for operating standard office equipment such as copiers, faxes, calculators, telephones, and other necessary tools.
