Job Description Overview

At Yale New Haven Health, we are committed to delivering exceptional patient care and service. As a key member of our team, the telephone receptionist plays a vital role in ensuring that our patients and families receive the highest level of care and attention.

Responsibilities
  • 1. Exceptional Customer Service
    • Provide exceptional customer service skills during interactions with the public, ensuring that all patients and families feel valued and respected.
  • 2. Telephone Management
    • Manage the flow of all inbound telephone communications, ensuring that all calls are answered promptly and efficiently.
  • 3. Call Routing and Screening
    • Use scripted call screening questions and judgment to distinguish between urgent and non-urgent calls, and accurately determine to whom and how to route the call.
  • 4. Epic System Navigation
    • Initiate telephone encounters in the Epic system with complete information and route calls to the appropriate clinician or Epic inbasket pool in accordance with Smilow Telephone Triage guidelines.
  • 5. Scheduling and Referrals
    • Refer patient calls for appointment scheduling, including treatment scheduling or cancellation requests to clinical staff and more complex or time-consuming scheduling requests to access staff.
  • 6. Technical Proficiency
    • Demonstrate proficiency in operating the telephone system, paging, and call transfer, and refer technical issues or problems immediately to the supervisor.
  • 7. Call Volume Metrics
    • Be familiar with call volume metric reporting, including the number of calls handled, call wait, and abandonment rates.
  • 8. Contact List Maintenance
    • Keep contact lists current, including addresses, phone numbers, and email contacts.
  • 9. Miscellaneous Duties
    • Perform miscellaneous job-related duties as assigned.
Qualifications
  • Education
    • Graduation from high school, including or supplemented by secretarial training courses.
  • Experience
    • One to two years of secretarial or business-related experience involving public contact, with experience in a patient care environment preferred.
  • Special Skills
    • Excellent customer service skills, with the ability to distinguish between urgent and non-urgent calls and accurately send messages to the appropriate staff.
    • Experience with EMR preferred, with good typing and data entry skills, and good computer skills, including word processing, Microsoft Office, and Excel program knowledge.
    • Excellent communication skills, with the ability to work under varying workloads and deal with extremely ill patients and a variety of professionals.
    • Thorough knowledge of third-party terminology.
