OVERVIEW: The Claims Processing Specialist plays a crucial role in managing all activities related to the assembly and submission of dealer claims for reimbursement of warranty components and services for designated service centers.

KEY RESPONSIBILITIES:
  • Facilitate pre-authorization submissions to maximize reimbursement for services rendered and achieve optimal approval rates.
  • Monitor pre-authorization statuses to prevent expiration before claim submission.
  • Challenge any legitimate pre-authorizations that have been rejected by the manufacturer.
  • Align work orders with pre-authorizations and implement necessary adjustments to streamline claim submissions.
  • Collaborate with service managers and service writers to review claims for labor or material modifications, ensuring that customers and relevant MarineMax departments are informed of their financial responsibilities.
  • Ensure timely return of all parts requested by the manufacturer within specified deadlines.
  • Oversee the collection of warranty credits.
  • Negotiate or contest unfavorable adjustments to claims made by manufacturers.
  • Submit precise and sanctioned claims within the manufacturer's designated timeframes.
  • Ensure prompt responses from manufacturers through diligent follow-up on dealer claims.
  • Initiate recall notifications correctly, document all work, and ensure completion of all tasks.
  • Investigate sublet orders and gather any necessary documentation to file appropriate warranty claims.
  • Educate service writers and parts staff on the correct procedures for warranty repairs, parts procurement, and pre-authorization submissions.
  • Work in close coordination with the accounting department regarding warranty receivables to ensure swift collection of credits owed and proper management of these credits.
  • Reconcile manufacturer credits with both pre-authorizations and the actual costs incurred for services rendered.
  • Generate reports detailing the financial volume of claims processed, claims submitted, time taken for claim resolution, and outstanding claims.
  • Continuously enhance the efficiency and timeliness of collecting factory credits.
  • Recruit, train, inspire, and evaluate the performance of warranty personnel.
  • Perform additional duties as assigned.
KEY PERFORMANCE INDICATORS:
  • Customer satisfaction, both internal and external.
  • Revenue generated from warranty claims.
  • Accuracy of warranty and claim documentation and reports.
  • Maintenance of precise repair order files.
  • Effective communication with other MarineMax departments and manufacturers.
