Responsibilities- Greet clients and visitors warmly, offering a welcoming and professional first impression of the hospital.
- Manage client and patient information, ensuring accuracy and completeness in our electronic medical records system.
- Schedule appointments for veterinary consultations, surgeries, and procedures, utilizing our appointment scheduling system.
- Collect and process payments, manage insurance claims, and handle client paperwork as necessary.
- Coordinate and manage waiting room flow, minimizing wait times and ensuring a comfortable and organized environment for clients and pets.
- Assist clients with completing necessary forms, obtaining medical histories, and ensuring all required information is documented.
- Address client concerns, inquiries, and requests in a courteous and efficient manner, escalating complex issues to appropriate staff members when necessary.
- Collaborate closely with veterinary medical staff to relay information, schedule follow-up appointments, and manage communication between clients and doctors.
- Maintain cleanliness and organization of the reception area, including the waiting room, front desk, and client communication materials.
- Manage incoming and outgoing mail, packages, and deliveries efficiently.
- Participate in the training and onboarding of new reception staff, ensuring consistent service standards and smooth workflow.
- Keep up-to-date with hospital policies, procedures, and services to accurately inform clients and answer their questions.
- Assist with other administrative tasks, such as record-keeping, filing, and data entry, as needed.
- High school diploma or equivalent; some college coursework preferred.
- Prior experience in a customer service or reception role, preferably in a veterinary or medical setting.
- Excellent communication skills, both verbal and written, with the ability to convey information clearly and professionally.
- Strong interpersonal skills, with the ability to interact with a diverse clientele and build positive relationships.
- Proficiency in using computer software, including scheduling systems, electronic medical records, and Microsoft Office Suite.
- Exceptional organizational skills and attention to detail to manage appointments, paperwork, and client information accurately.
- Compassionate and empathetic attitude towards animals and their owners.
- Ability to multitask and handle high call volumes and client traffic while maintaining a calm and composed demeanor.
- Problem-solving skills to address client concerns and manage challenging situations.
- Flexibility to work varied shifts, including weekends and some holidays, to accommodate our operational hours.
- Genuine interest in promoting animal health and well-being, and a willingness to learn about veterinary practices and procedures.
