SeamonWhiteside is seeking a dedicated and skilled professional to join our team as a Recruitment Operations Specialist in a dynamic and fast-paced setting. This role is crucial in enhancing the recruitment and onboarding experience, ensuring that both candidates and hiring teams have a smooth and positive journey throughout the process.

The Recruitment Operations Specialist will be responsible for coordinating various stages of the recruitment lifecycle, from sourcing candidates to facilitating their onboarding. This position requires collaboration with leadership, recruiters, hiring managers, and candidates to ensure effective and efficient recruitment practices.

Key Responsibilities

  • Design and execute recruitment strategies to attract exceptional talent across all SeamonWhiteside locations.
  • Oversee the complete recruitment process for all roles, including internships.
  • Develop and publish job postings on multiple platforms and social media channels.
  • Organize and facilitate both in-person and virtual interviews, ensuring a streamlined process for candidates and interviewers alike.
  • Act as the primary contact for candidates, providing insights into the recruitment process and ensuring a positive experience.
  • Address candidate inquiries and provide timely updates regarding their application status.
  • Collaborate closely with recruiters and hiring managers to align on staffing needs and priorities.
  • Maintain consistent communication with hiring managers, offering updates on candidate progress and the overall recruitment status.
  • Coordinate travel arrangements for candidates when necessary.
  • Manage applicant tracking systems (ATS) to maintain accurate and current candidate records.
  • Prepare and distribute recruitment-related communications.
  • Generate reports on recruitment metrics and activities as required.
  • Create offer letters and total compensation documents for new hires.
  • Conduct reference checks and background screenings for prospective employees.
  • Facilitate new employee orientations to ensure a smooth onboarding experience.
  • Ensure all necessary new hire documentation is completed and processed accurately.
  • Assist in the development and maintenance of job descriptions and interview guides.
  • Contribute to employer branding initiatives by promoting a positive candidate experience and embodying company values in all communications.
  • Coordinate and participate in recruitment events and job fairs to attract potential candidates, including college career fairs.
  • Manage the internship program and collaborate with hiring managers on internship requirements.
  • Schedule check-ins for new hires at 30, 60, and 90 days.
  • Conduct research to stay informed about industry best practices, emerging trends, and new recruitment tools and technologies.
Qualifications

  • Education: Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Experience: A minimum of three (3) years in talent acquisition, recruitment, or HR roles.
Required Skills

  • Demonstrated experience as a Recruitment Operations Specialist or in a related HR capacity.
  • Proficiency in Human Resources Information Systems (HRIS) and Applicant Tracking Systems (ATS).
  • Understanding of employment laws and regulations to ensure compliance throughout the recruitment process.
  • Willingness to travel to various company locations quarterly.
  • Exceptional organizational and time management skills, with the ability to manage multiple tasks effectively.
  • Strong attention to detail and accuracy in data management.
  • Proficiency in Microsoft Office Suite or similar software.
  • Excellent verbal and written communication skills, capable of engaging professionally with candidates and stakeholders.
  • Strong analytical and decision-making skills, with the ability to evaluate candidate qualifications and make informed recommendations.
  • Ability to maintain confidentiality and handle sensitive information with care.
  • Capacity to thrive in a fast-paced environment and adapt to changing priorities.
  • A friendly and approachable demeanor, with the ability to build relationships quickly.
