Position Overview

The IDR Program Manager is responsible for supervising and maintaining the Information, Documents, and Records (IDR) program. This role encompasses overseeing and managing both internal and external documents and records to ensure the latest versions are maintained in the system, in accordance with the Records and Information Management System (RIMS) retention schedule.

Key Responsibilities:

  • Implement the IDR program and initiatives to ensure consistent service delivery for the overall coordination of information, documents, and records from creation or receipt through processing, distribution, organization, storage, retrieval, and ultimate disposition.
  • Ensure that the most current IMS documents are readily available, identifiable, and accessible to all personnel, providing updates on changes quarterly.
  • Manage document changes to ensure alignment with the Company management system and that required stakeholders complete reviews and approvals.
  • Oversee the revision history of IMS documents, ensuring the latest copies are accessible to document owners as needed.
  • Supervise the storage of records (short-term/long-term) and ensure proper storage, retrieval, and destruction according to the record retention schedule.
  • Provide functional oversight and leadership to domestic and international document controllers and records coordinators, ensuring processes are current and executed consistently. Offer support and guidance to IMS administrators for Global Documents.
  • Supervise the IDR management system and direct assigned tasks for document controllers.
  • Develop, revise, and administer policies, standards, and procedures for managing Information, Documents, and Records.
  • Review and recommend revisions to the Company's policies, standards, or procedures related to IDR requirements.
  • Collaborate with Information Technology (IT) to enhance the information architecture supporting the management of physical and electronic records and information across the Company.
  • Conduct IDR training for the organization on internal record management databases.
  • Provide direction and consultation to customers with records retention determination authority to support and enhance the integrity of the Company's systems for managing enterprise information and records.
  • Adhere to all Company policies, standards, and procedures.
  • Perform other duties and special projects as assigned.

Qualifications

Essential Qualifications, Skills, and Abilities

  • Bachelor's degree or relevant experience required.
  • Minimum of five years of related work experience, preferably in records management.
  • At least two to three years of supervisory experience.
  • Working knowledge of enterprise content and records management technologies, principles, and best practices.
  • Proficiency in Microsoft Office tools such as Excel, Word, PowerPoint, and Outlook.
  • Detail-oriented, self-starter capable of working independently while achieving goals/tasks.
  • Ability to influence and drive results.
  • Strong understanding of regulatory, legal, and quality requirements related to document control.
  • Excellent written and verbal communication skills, able to communicate professionally with staff, management, customers, and vendors.
  • Able to manage multiple tasks simultaneously while effectively managing time.
  • Exhibit good judgment and lead by example.
  • Strong analytical skills with an understanding of departmental functions and the Company's values, strategy, and objectives.
  • Ability to work under minimal supervision and make independent decisions as appropriate.
  • Capable of interpreting and applying written information (e.g., policies, procedures, rules, regulations, statutes, etc.).
  • Able to make oral presentations to both small and large audiences.
  • Experience in the Oil and Gas industry is preferred.

Physical Requirements:

  • Regularly requires sitting/standing while performing sedentary work.
  • Requires repetitive wrist, hand, or finger movements at a computer.
  • Ability to carry up to 10 pounds and may require lifting and/or moving objects up to 25 pounds.
