Assistant Property Manager Job Description

About the Role:

We are seeking a highly motivated and detail-oriented Assistant Property Manager to join our team at Anchor Investments, LLC. As a key member of our property management department, you will play a crucial role in ensuring the success of our properties through excellent management.

Key Responsibilities:

  • Tenant Maintenance Request: Promptly respond to tenant emails or calls, thoroughly track and document progress in ASANA, review leases to determine Landlord/Tenant Responsibility, commission work with vendors, and communicate updates to tenants.
  • Vendor Partnerships: Cultivate trusting relationships with vendors, hold vendors accountable to timelines, negotiate quotes with vendors, and persist in following up with contractors until completion.
  • Assist in Financial Oversight: Manage weekly rental payments by updating the Rent Tracker and Rent Roll, assist in coding and reviewing invoices for vendor payments, clarify lease terms, refine spreadsheets for budgets and CAM reconciliations, create and send annual CAM estimate and reconciliation letters to tenants, and prepare investor reports by creating power points and batching financials for leadership review.
  • Tenant & Property Onboarding: Add new tenants from new leases or acquisitions to CRM Tools, gather quotes for Landlord work for new leases or early wins at recently acquired centers, and send out tenant communication such as welcome and rent commencement letters.
  • Property Performance and Conditions: Conduct monthly inspections for local properties, monitor remote inspections and notify PMs of needed repairs, and update Slack with new pictures, required work, or bids received.
  • Assist in Renewals: Craft proposal emails to send to the owners, draft amendments and send via Docusign, and complete lease change forms and renew tenants in MRI.
