Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our Accounting Department. The successful candidate will provide administrative support to senior staff and employees, manage scheduling, and maintain confidentiality and security of sensitive information.

Key Responsibilities
  • Manage scheduling appointments, meetings, and travel arrangements for senior staff and employees
  • Create and prepare letters, reports, presentations, and confidential documents
  • Act as the point of contact for employees and clients by answering phone calls and emails and directing them to the appropriate personnel
  • Prepare and maintain communication such as memos, emails, invoices, reports, and other correspondence
  • Create and maintain filing systems, both electronic and physical
  • Input data for logging transactions and entering AP transactions in the ERP system
  • Manage office supplies by maintaining inventory of supplies, placing orders, and coordinating deliveries
  • Assist with managing contracts by gathering quotes and documents and obtaining signatures
  • Handle mail, file paperwork, scan documents, and occasionally cover the receptionist area when required
Requirements
  • High School Diploma
  • 1-3 years administrative experience
Preferred Qualifications
  • Some college coursework
  • Experience performing administrative duties for accounting, customer service, or related departments
Physical Demands and Work Environment
  • Must be able to sit for extended periods of time
  • Must be able to lift and carry boxes containing accounting/financial materials
  • May be required to reach, stand, walk, or crouch for short durations of time
