Position Overview

As a Scheduling Coordinator at VITAS Healthcare, you will play a crucial role in managing and facilitating the referral process to ensure that our clients receive timely and effective care. Your responsibilities will include:
  • Referral Management: Efficiently process incoming referrals to align with the needs of the referral sources.
  • Daily Coordination: Engage in morning meetings with the Admissions Coordinator and Admissions Manager to assess and address daily staffing and scheduling requirements.
  • Customer Service Excellence: Deliver exceptional service to all callers by adhering to VITAS Call Center Quality Management standards.
  • Team Support: Collaborate with the Admissions team to surpass program objectives.
  • Relationship Building: Foster and maintain strong connections with both internal and external stakeholders.
  • Data Integrity: Accurately input information into VITAS computer systems to uphold data quality.
  • Information Response: Provide clear and accurate answers to inquiries regarding VITAS services.
  • Appointment Scheduling: Confirm and arrange same-day appointments based on patient and referral source requests.
  • Escalation Protocol: Refer complex issues to the Admissions Manager when necessary.
  • Contingency Staffing: Adhere to VITAS Admissions Standards for staffing contingencies.
  • Ongoing Development: Participate in continuous training to adapt to the evolving healthcare landscape.
  • Appointment Notifications: Communicate scheduled appointments to Admissions Staff during operational hours.
  • Referral Notifications: Inform VITAS Marketing Representatives of new referrals during operational hours.
  • Appointment Management: Utilize Appointments Everywhere for effective scheduling and updates.
Qualifications
  • Minimum of two years of experience in a medical or call center environment.
  • Proven ability to achieve objectives in a fast-paced setting.
  • Strong judgment and discretion in building partnerships with callers.
  • Excellent verbal and written communication skills to provide high-quality service.
  • Proficient in computer usage, internet navigation, and various software applications, with a typing speed of at least 45 wpm.
  • Experience in collaborating with other leaders to implement action plans.
  • Highly organized with the ability to manage multiple tasks simultaneously.
  • Demonstrated positive behaviors that support integrity, diversity, innovation, relationship building, customer focus, and teamwork.
  • Ability to communicate effectively with department heads, managers, colleagues, and vendors to resolve issues.
Education
  • High school diploma or equivalent preferred.
  • Bilingual in Spanish/English is advantageous.
  • Medical or business office training is desirable.
