Job Title: Front Desk Coordinator

Dermani MEDSPA, a fast-growing medical spa in the Atlanta area, is seeking a highly motivated and detail-oriented Front Desk Coordinator to join our team at our Dunwoody location.

Job Summary:

We are looking for a skilled and organized individual to provide exceptional customer service, manage front office operations, and support our team in delivering an exceptional patient experience.

Key Responsibilities:
  • Greeting and Check-in: Greet clients, check them in, and ensure all necessary forms are completed.
  • Sales Lead Follow-up: Call on sales leads immediately, update daily, and follow up on those who cannot be reached.
  • Phone Call Management: Check missed phone calls after lunch or throughout the day and return calls.
  • Communication: Respond to messages from social media, email, and chat.
  • Checkout and Payment Processing: Check out clients accurately, process payments without error, and add consumed services as needed.
  • Appointment Management: Review appointment books, look ahead, and make notes, confirm, reschedule, or book appointments.
  • Appointment Order and Service Combination: Review to ensure no appointments are booked in the wrong order and services cannot be combined.
  • Maximizing Appointment Time: Adjust finish times as needed to open up for the next appointment.
  • Membership Upsell: Explain and upsell membership to clients.
  • Customer Complaints and Billing Questions: Handle customer complaints and billing questions and escalate when necessary.
  • Procedures and Protocols: Follow and read through cleaning, opening, and end procedures, as well as FD processes and protocols.
  • Inventory Management: Restock retail inventory, organize all stocks, and apply price stickers.
  • Mail and Inventory Management: Open, sort, and scan mail, and perform daily, weekly inventory cycle counts.
  • Cleaning and Maintenance: Complete daily cleaning lists for common areas, including restrooms, front desk, hallways, kitchen, and windows.
  • Cash Handling: Manage cash handling and check for open invoices and failed memberships daily to collect payment.
Requirements:
  • Customer Service Experience: Experienced in providing exceptional customer service.
  • Multitasking and Communication Skills: Great multitasking and communication skills.
  • Attention to Detail: Detail-oriented and reliable.
  • Strong Work Ethic: Has a strong work ethic and is dependable.
