Job Title: Executive Assistant to Founders at Venture Capital Firm

About the Role:

We are seeking a highly proactive Executive Assistant to support our two Founders/General Partners at our early-stage venture capital firm. As an Executive Assistant, you will play a critical role in leveraging the time of our Partners, keeping them informed on top priorities, and ensuring seamless execution of their tasks.

Responsibilities:

  • Provide daily support to the Founders to maximize their productivity and focus on key priorities.
  • Manage and prioritize the Partners' calendars, scheduling and coordinating meetings, and ensuring timely responses to emails and follow-ups.
  • Book travel arrangements and transportation, creating detailed itineraries for seamless trips.
  • Prepare the Founders and General Partners for meetings with bios and notes.
  • Plan events, including annual meetings, quarterly dinners, and get-togethers.
  • Maintain investor relations by tracking contacts and conversations in CRM.
  • Create newsletters and updates for distribution.
  • Work with vendors on audit and tax processing, ensuring timely filings and paperwork.
  • Collaborate with fund admin to ensure timely reporting.
  • Assist Partners with executive tasks, including managing expenses and handling ad hoc requests.
  • Provide light personal support, such as scheduling doctor and DMV appointments.

Qualifications:

  • Previous experience as an Executive Assistant, ideally in venture supporting Partner(s).
  • Self-starter who is proactive and takes initiative.
  • Familiarity with Boston/New York, understanding transportation timing, and finding great restaurants for meetings and events.
  • Ability to balance informality and professionalism, interacting with high-level stakeholders.
  • Proactive approach, able to identify how best to utilize your skills and delegate tasks effectively.
  • Familiarity with tech stacks like Brex and Expensify for expenses.
  • Capable of handling tasks beyond EA work to provide leverage to the Partners and fund.
