Job Title: Business Office Manager

Enhance office effectiveness by providing support relating to day-to-day operations, human resources, personnel files, resident files, accounts payable, and compliance with state and federal regulations and HRA standards. Provide exquisite customer service to residents and their families.

Key Responsibilities:Office Management:
  • Manage incoming phone calls and ensure timely responses.
  • Assist the Executive Director and Management Team as needed.
  • Perform Manager On Duty responsibilities when assigned.
  • Maintain vendor contract files and ensure compliance.
Financial:
  • Perform accounts payable duties, including data entry and submission of monthly AP purchase journal.
  • Process accounts receivable duties, including data entry and collection of amounts due.
  • Generate resident billing with accuracy and respond to inquiries.
  • Assign expenses to proper department code numbers and make bank deposits daily.
  • Maintain petty cash process and ledger accounting for disbursements.
  • Participate in monthly budget variance conferences and provide reports.
  • Prepare refund requests for residents when applicable.
Administrative:
  • Properly report and track job-related injuries and incidents.
  • Maintain OSHA logs and ensure compliance.
  • Maintain labor law, state, and federal regulation postings.
  • Prepare and maintain all associate files and maintain confidentiality.
Human Resources/Payroll:
  • Assist in the recruitment of new associates and perform on-boarding process.
  • Assign required courses to new hires and assist with online training system.
  • Assist in the administration of Company benefit programs.
  • Act as liaison for the Community regarding Company policies and procedures.
  • Assist with counseling, documenting associate grievances, investigations, and tracking corrective actions.
  • Maintain personnel files and process payroll.
Requirements:
  • Lead by example, exhibiting CORE Values through servant leadership.
  • Encourage teamwork and promote company philosophy.
  • Attend required community meetings and participate in Life Enrichment activities when able.
  • Attend monthly BOM teleconference calls and other required training opportunities as assigned.
  • Complete all required courses in adherence with HRA University.
  • Be prompt and able to perform required duties on a regular, predictable basis.
