Job Summary

The Event Coordinator Specialist will play a key role in shaping the future of sustainable and connected mobility by planning and executing marketing events, including trade shows, customer-related events, and sales events. This role will involve coordinating logistics, vendor services, and facility requirements, as well as providing onsite event support.

Key Responsibilities
  • Plans and executes marketing events, including trade shows and customer-related events
  • Coordinates logistics, including registration and attendee tracking, presentation and materials support, and pre- and post-event evaluations
  • Procures and coordinates vendor services
  • Coordinates facility, exhibit setup, equipment, and catering requirements
  • Provides onsite event support
  • Coordinates PLT marketing and sales events according to established goals and objectives
  • Coordinates with internal and external customers, including dealers, distributors, end consumers, business partners, media, and event staff
Event Strategy and Coordination
  • Leads event strategy and creative meetings to determine event scope and need
  • Consults, makes recommendations, and suggestions on all aspects of events
  • Reserves event hotel accommodations, meeting space, food and beverage requirements, internet, audio visual, and parking
  • Partners with group air travel to ensure smooth customer flight booking process
  • Plans necessary transportation needs, including airport transfers, group bus transportation, and individual pickups
  • Books restaurant and/or entertainment arrangements necessary to accommodate event schedules and needs
  • Arranges for social activities dependent on event needs
  • Communicates with internal and external customers to ensure awareness of all event information
  • Creates event agenda and printed materials to enhance communication and key messages
  • Onsite event execution lead with emphasis on keeping internal and external customers on schedule and in the right place at the right time
  • Gathers and compiles feedback post each event
Vendor Management and Budget
  • Contacts hotels and venues of interest and facilitates contract negotiation process
  • Works with Purchasing Department on 3-bid vendor process to ensure cost-effective vendor selection
  • Coordinates with Legal Department on contract negotiation reviews and compiles information into Contract Management System
  • Sets up new vendors into Vendor Management System and follows up on payment process with Accounts Payable
  • Responsible for setting up Purchase Orders and all necessary documents to track event orders
Qualifications
  • Bachelor's degree
  • 2+ years experience executing high-end dealer, customer events, and activation
  • Cvent software or related event software experience
  • Proficient in Excel
  • Able to travel up to 40%
Preferred Qualifications
  • 5+ years experience executing high-end dealer, customer events, and activation
  • Cvent hands-on experience
