Job Description

Job Summary:

We are seeking a highly organized and detail-oriented Division Coordinator II to join our team at Heartland Human Care Services. As a key member of our operations team, you will play a crucial role in ensuring the highest standards of internal auditing, staff compliance, and overall quality improvement.

Key Responsibilities:

  • Provide administrative support to all programs and serve as an administrative assistant to senior directors and managers.
  • Manage and maintain division-wide databases, financial transactions, and general program inventory.
  • Reconcile financial items and prepare and monitor expense reports, credit card details, and contract billings.
  • Prepare records, contracts, and other documentation, and ensure the appropriate filing and distribution of such data.
  • Establish and maintain relationships with vendors and act as a point person for external parties.
  • Perform non-specialized tasks as needed, including word processing, filing, photocopying, and directing correspondence.

Requirements:

  • High school diploma or equivalent General Education Diploma is required.
  • Minimum five (5) years of related experience in an operational/administrative/clerical role.
  • Bilingual is strongly preferred.

Preferred Qualifications:

  • Demonstrated computer proficiency, including knowledge of word processing, spreadsheet, and database software.
  • Ability to write reports, correspondence, and instructions.
  • Ability to effectively present information and respond to questions from staff, managers, and vendors.

Work Environment:

  • The noise level in the work environment is usually moderate.
  • Employees may be required to report to any one of our locations on a temporary or permanent basis.
