Lead by Example:

• Support the organization in managing all documentation and records pertinent to the accounts payable function.

• Aid in the upkeep of the database for external suppliers and banking accounts.

• Handle weekly inventory transactions and assist with month-end financial reporting.

• Possess knowledge of approved suppliers and policies to prevent the payment of unauthorized invoices.

Build Lifelong Partnerships:

• Cultivate positive working relationships with suppliers, colleagues, project managers, and other internal stakeholders.
Act with Integrity:

• Assist in overseeing all aspects of the accounts payable system accurately and promptly, adhering to established processes and internal controls.

• Verify invoices for correctness, maintain supplier records, and reconcile timesheets.

• Ensure compliance and reporting for sales and use tax.

• Allocate invoice charges to the correct general ledger and job cost categories.

• Execute check runs in accordance with payment terms and file paid invoices promptly.

• Establish new suppliers, including obtaining necessary tax documentation prior to payment issuance.

• Keep W-9 forms electronically for efficient Form 1099 preparation at year-end.

Put People First:

• Relay essential information to relevant parties within the accounting department, operating units, and external organizations.

Challenge the Ordinary:

• Investigate discrepancies in payable data to ensure accuracy and compliance with procedures before processing, including purchase order and subcontract management.

• Develop and oversee special schedules for various expense allocations.

Education and/or Work Experience Requirements:

• A minimum of 3 years of experience in accounting or a related field.

• Exceptional attention to detail, time management, analytical, and recording capabilities.

• Basic understanding of sales and use tax regulations.

• Proficiency in MS Office Suite and computerized accounting systems.

• Ability to thrive in a team environment and manage a high volume of transactions.

• Strong grasp of general ledger systems and accounts payable processes.

• Previous experience in accounts payable is essential.

• Experience in the construction industry is advantageous.

• Familiarity with ComputerEase is a plus.

• An associate's degree or higher in accounting or a related field is preferred.
