As a Legal Receptionist, you will undertake a range of administrative responsibilities within our supportive and collaborative environment. Your role will involve assisting local attorneys and paralegals by managing fee agreement documentation, scheduling, filing legal documents, and facilitating client interactions. You will also be the first point of contact for clients and vendors visiting our office.

KEY RESPONSIBILITIES:

  • Greet incoming visitors, guide clients to meeting rooms, and demonstrate hospitality by offering refreshments.
  • Oversee the inventory of office supplies and ensure cleanliness in shared spaces.
  • Handle payment processing, bank deposits, and petty cash reconciliation.
  • Respond to all incoming phone calls promptly.
  • Manage client-related documentation from paralegals and staff, ensuring proper filing within client records.
  • Prepare necessary files for attorneys for court appearances, hearings, and meetings.
  • Maintain the file room, updating files as directed by attorneys and paralegals. This includes e-filing and scanning documents to keep both physical and digital records current.
  • Travel to court to file documents with the Clerk and present documents for signatures.
  • Assist paralegals and attorneys with file reviews and preliminary legal research.
  • Schedule hearings, deadlines, meetings, and other significant events as instructed.
  • Deliver exceptional service to clients consistently.
  • Establish and maintain a respected reputation among clients, opposing counsel, judges, court personnel, and colleagues.
  • Perform additional duties as assigned.

MINIMUM REQUIREMENTS:

A High School Diploma or GED is required; a college degree or 2+ years of legal experience is preferred. Strong verbal and written communication skills are essential, including the ability to engage effectively with both internal and external stakeholders. Proficiency in computer applications (MS Office - Word, Excel, and Outlook) is necessary. The ability to work under pressure and meet deadlines while maintaining a positive attitude and providing excellent customer service is crucial. Must be capable of working independently and completing tasks within established guidelines.

DESIRED QUALIFICATIONS:

Strong organizational, project management, and operational skills; ability to prioritize effectively and manage multiple tasks simultaneously; excellent analytical capabilities; creative problem-solving skills; and a positive, professional demeanor. Proven experience collaborating with various departments (e.g., Finance, Operations, Sales, IT) to achieve objectives and deliver results.

This position will be performed in a standard office setting. Employees are expected to maintain regular and punctual attendance in accordance with company policy. While performing job duties, employees may occasionally be required to work weekends, holidays, or be on call, and some may need to travel overnight on occasion.
