Optima Energy specializes in energy efficiency consulting and rapid installation services for multifamily, commercial, and industrial sectors throughout Southern California and beyond. They are in search of a resourceful and budget-conscious Procurement Specialist responsible for securing the highest quality materials, products, and services at competitive rates. This role is vital in managing supplier partnerships, negotiating agreements, streamlining the procurement process, and ensuring prompt payment for goods and services rendered.

Key Responsibilities:

Strategic Sourcing:

- Formulate and implement sourcing strategies to identify and engage the best suppliers for all necessary materials and services.

- Assess market dynamics, supplier capabilities, and cost factors to enhance procurement choices.

- Negotiate supplier contracts to secure advantageous pricing, terms, and conditions.

Supplier Relationship Management:

- Cultivate and sustain robust relationships with key suppliers, promoting collaboration and transparent communication.

- Evaluate supplier performance to ensure timely delivery, adherence to quality standards, and compliance with contract terms.

- Address supplier issues and disputes promptly and effectively.

Project Support:

- Collaborate closely with program leads to ensure success in this role.

- Partner with program leads to comprehend project needs, timelines, and product specifications.

- Work in tandem with subcontractors to secure accurate and competitive pricing for project-related materials and services.

- Confirm availability of products and lead times to avert project delays.

- Ensure that sample materials and products are thoroughly vetted and tested for field use.

Product Expertise:

- Acquire an in-depth understanding of program requirements and product specifications for all materials and equipment utilized by the company.

- Maintain close ties with suppliers and manufacturers to stay informed about relevant legislation and current and future product requirements.

- Keep abreast of industry trends, emerging technologies, and alternative products to ensure optimal sourcing decisions.

- Identify and recommend alternative products when existing options are phased out or unavailable.

Cost Optimization:

- Continuously evaluate procurement data to uncover cost-saving opportunities and process enhancements.

- Implement strategies to minimize procurement expenses, such as volume discounts, supplier consolidation, and value engineering.

- Monitor and report key procurement metrics, including cost savings, supplier performance, and on-time delivery.

Accounts Receivable Follow-up:

- Track and manage outstanding payments for received goods and services.

- Liaise with the accounts receivable team to ensure accurate invoicing and payment processing.

- Initiate follow-up communications with suppliers regarding overdue payments.

- Collaborate with finance to resolve payment discrepancies or disputes.

Qualifications:

- Bachelor's degree in supply chain management, business administration, engineering, or a related field.

- 3+ years of experience in procurement, sourcing, or supply chain management.

- 1+ years in the energy sector with knowledge of utility rebate and conservation programs.

- Proven success in negotiating favorable contracts and managing supplier relationships.

- Strong analytical, problem-solving, and decision-making abilities.

- Excellent communication and interpersonal skills, with the capability to collaborate effectively across departments.

- Proficiency in procurement software and data analysis tools.

- Strong organizational skills.

- Experience in the energy sector is advantageous.

- Familiarity with accounts receivable processes and procedures is preferred.
