The Administrative Operations Coordinator is an entry-level position responsible for overseeing the indirect material purchasing process, capital procurement, and daily production reporting. This role includes creating purchase orders, managing invoices and vendor relationships, providing administrative support to various managers, and fulfilling receptionist duties.

Key Responsibilities

  • Communicate with suppliers regarding orders.
  • Create purchase orders using ERP software.
  • Resolve issues related to purchase orders and invoices.
  • Prepare daily production reports, including production rates, process reliability, and downtime documentation.
  • Manage the procurement and reconciliation of all facility supplies, including office materials and safety equipment.
  • Maintain inventory records for all maintenance supplies and equipment.
  • Assist the Maintenance Manager with scheduling and tracking work orders.
  • Perform general receptionist tasks.

Requirements

  • High School Diploma or GED required.
  • Must be at least 18 years old.
  • 1 to 3 years of administrative experience preferred.
  • Proficient in Microsoft Office Suite and ERP software.
  • Strong analytical skills with attention to detail and excellent organizational abilities.
  • Ability to work independently while maintaining confidentiality and discretion.
  • Effective multitasking and problem-solving skills.
  • Strong communication skills, both verbal and written.
  • Able to build collaborative relationships internally and externally.
  • Capable of lifting up to 50 pounds using proper techniques.
  • Able to sit and perform repetitive tasks for extended periods.
