Facilities Maintenance Management is in search of a dedicated professional to take on the role of HVAC Project Coordinator. Our organization specializes in maintenance and construction services for both residential and commercial sectors across the nation.


Position Summary

The HVAC Project Coordinator will collaborate closely with the HVAC Department and Project Managers to monitor project progress, secure and submit bids, and coordinate subcontractors.


Key Responsibilities

(This list is not exhaustive and may include additional duties)

  • Maintain Work in Progress schedules
  • Support the HVAC Manager with ongoing projects
  • Analyze budget costs before submission to clients
  • Review active work orders and provide status updates to the HVAC Manager
  • Communicate weekly updates to clients regarding work order statuses
  • Prepare and manage submittal logs
  • Verify Submittals
  • Establish and maintain RFI logs
  • Document and submit change orders
  • Conduct follow-ups with clients post-project completion to ensure service aligns with company values

Required Skills and Qualifications
  • Exceptional written and verbal communication skills
  • Proficient in Microsoft Office Suite
  • Experience with contractor accounting systems such as CMiC or similar
  • Familiarity with HVAC services is advantageous but not mandatory
  • Strong leadership capabilities
  • Ability to work both collaboratively and independently
  • Excellent organizational skills
Education and Experience
  • Bachelor's degree in Construction Management or a related field
  • Relevant work experience may be considered in lieu of a degree
Physical Requirements
  • Extended periods of sitting at a desk and working on a computer
  • Ability to lift up to 15 pounds
  • Must be able to pass a Fit for Duty Screening
