Job Title: Assistant Building Manager

We are seeking a highly skilled and experienced Assistant Building Manager to join our team at Harvard University. The successful candidate will be responsible for managing building operations, services, and infrastructure projects to ensure the smooth operation of our facilities.

Key Responsibilities:
  • Manage and coordinate small to mid-size projects and renovations, including HVAC and MEP projects, space renovations, and office moves.
  • Oversee the workflow of subcontractors involved in projects and renovations.
  • Manage contracts, including writing, bidding, and awarding, as well as managing budgets and timelines.
  • Review, package, and process submittals and shop drawings.
  • Track and update subcontractor change order requests, site drawings, RFI's, and COR's.
  • Prepare project closeouts and manage meeting minutes.
  • Work with the Director to implement sustainability initiatives and participate in greenhouse gas and energy reduction efforts.
  • Assist the Director in developing long-term building equipment and aesthetic maintenance plans.
  • Maintain the deferred maintenance database.
  • Oversee and/or coordinate maintenance/repair work assignments performed by technicians, vendors, and contractors.
  • Respond to client inquiries and concerns, ensuring timely and quality service delivery.
  • May coordinate and manage move, add, and change activities.
  • Manage vendor relationships, process invoices, and ensure proper cost center coding.
  • Review periodic reports, including financials, and explain variances.
  • Develop and maintain positive relationships with the facilities and operations team, including union technicians and third-party service providers.
Requirements:
  • Minimum 2 years of building operations and/or project management experience.
  • Demonstrated knowledge of mechanical, electrical, and plumbing systems and familiarity with construction methods, documents, and specifications.
  • Strong technical skills, including experience with Microsoft Office, Procore, Microsoft Project, and Excel.
  • Strong leadership, presentation, verbal, and written communication skills.
  • Strong interpersonal skills with subcontractors, colleagues, clients, architects, and engineers.
  • Strong analytical and problem-solving abilities.
  • Negotiation skills.
  • Proactive mindset with the ability to minimize or eliminate risks to the School and department.
  • BS in Facilities Management, Engineering, Construction Management, or a related field is a plus.
