About the Role

We are seeking a highly skilled and experienced Community Association Manager / Assistant General Manager to join our team at RealManage. As a key member of our management team, you will be responsible for assisting the General Manager with the day-to-day operations of the management of the Homeowners Association.

Key Responsibilities
  • Supervision and Team Management: Supervise and manage a team of staff members to ensure the smooth operation of the community.
  • Customer Service and Communication: Respond to incoming calls and emails from homeowners, Board members, and vendors, and maintain accurate records of all interactions.
  • Administrative Tasks: Process and distribute incoming and outgoing mail, prepare and assist with monthly board packages, and maintain accurate records of all community activities.
  • Deed Restriction Letters: Produce and track letters based on site inspections, maintain a violation log, and ensure all agreements are fully executed and filed.
  • Renewals and Agreements: Track expiration dates on all agreements, solicit bids for renewal, and ensure all agreements are fully executed and filed.
  • Meeting Preparation and Attendance: Assist with the preparation of Board Meeting Packets and Annual Members Meeting Packets, attend Board Meetings and Annual Members Meetings as needed, and record minutes.
  • Minute Preparation and Approval: Draft meeting minutes, make additions/changes as directed, and circulate to the Board of Directors within thirty days of the meeting.
  • New Board Member Packets: Prepare and fulfill New Board Member Packets within two working days of the Annual Members Meeting.
  • Corporate Records and Minutes: Maintain and update corporate records and minutes books for assigned associations.
  • Committee Coordination: Manage the volunteer process for assigned associations and maintain a data file of volunteers for each committee.
  • Filing and Research: Set up files for new associations, maintain association files per standard office procedures, and assist with researching resident requests.
  • Proofreading and Communication: Proofread all community correspondence and ensure all communication is clear and concise.
Requirements
  • Education: Associate degree required.
  • Experience: Minimum of one year of Homeowner Association (HOA) Management experience required, with previous onsite management experience strongly preferred.
  • Skills: Strong interpersonal, supervisory, and customer service skills are required, with the ability to set priorities, plan, organize, and delegate effectively.
  • Communication: Strong written and verbal communication skills are required, with the ability to read, understand, and explain financial statements.
Benefits
  • Salary: $65,000.00 - $75,000.00 depending on education and experience.
