Position Overview
Under general supervision, this role involves executing a variety of specialized administrative tasks that may include client registration, appointment scheduling, and interviewing, as well as conducting telephone screenings, verifying medical insurance eligibility, and processing accounts for clients within the Santa Clara Valley Health & Hospital System.
Key Responsibilities
(The following tasks may be performed depending on the area of assignment. Not all tasks will be applicable to every position.)
- Conduct interviews with clients to gather personal and financial information and assess their ability to pay for medical services or determine program eligibility;
- Provide information on alternative services, programs, or additional insurance options available to clients for various Federal, State, and County programs;
- Prepare insurance billing documents, including Medi-Care and Medi-Cal;
- Compile medical admission packets and set up medical record files, ensuring all necessary departmental forms and labels are included;
- Input registration and billing data into the computer system, reverting to manual processes during system downtimes;
- Prepare documentation for emergency medical admissions;
- Utilize office equipment to create identification cards for billing purposes and issue receipts;
- Respond to telephone inquiries regarding emergency medical treatments and refer calls appropriately;
- Assist clients in completing necessary forms and paperwork;
- Maintain a logbook of admissions;
- Coordinate with law enforcement and ambulance services regarding emergency admissions;
- Notify family members of emergency admissions;
- Gather necessary information when clients are unable to respond;
- Provide information to the public or staff that requires interpretation of policies and procedures;
- Arrange transportation for patients in various situations, including emergencies;
- Estimate costs for medical services and assist in payment arrangements;
- Schedule appointments for various medical clinics using a computerized registration system;
- Maintain appointment schedules for multiple clinics;
- Inform clients about specialty clinics, billing processes, and diagnostic procedures;
- Contact clients to remind them of upcoming appointments;
- Update patient location records;
- Classify and code diagnoses on charge documents to ensure proper reimbursement;
- Maintain files and manuals related to medical classifications;
- Compile and post medical statistics to daily logs;
- Review charge documents for compliance with regulations;
- Assist in training new clerical and medical staff in unit procedures;
- Perform other related duties as assigned.
Demonstrated education, training, and work experience in a medical services environment that has provided the opportunity to perform a variety of moderately complex clerical tasks.
Experience Note: A qualified candidate typically possesses one (1) year of experience in a medical setting or agency that required the use of medical terminology and direct client interaction. Completion of a recognized medical assistant program may substitute for six (6) months of this experience.
Knowledge and Skills Required:

- Type accurately and at a moderate speed;
- Clarify and explain information necessary for completing clerical tasks;
- Perform basic arithmetic calculations;
- Organize and maintain accurate records;
- Establish effective working relationships with medical and administrative personnel.
