Vaco is in search of a meticulous and organized Accounting Specialist to become a vital part of our team. The successful candidate will oversee financial transactions, manage payroll functions, and support various administrative responsibilities. The workforce primarily consists of unionized field personnel operating within a designated region.

Key Responsibilities:
  • Maintain comprehensive records for current employees, including updates on personal information and deduction changes.
  • Onboard new employees by entering their details into the accounting system, confirming union deductions, and updating relevant spreadsheets.
  • Synchronize hours for field staff, manually input shop hours, and verify time against submitted field tickets.
  • Collaborate with the finance department to ensure timely processing of weekly payroll.
  • Compile and submit monthly utilization reports along with Owner Controlled Insurance Programs (OCIP) documentation.
  • Monitor and prepare weekly certified payroll reports.
  • Process and categorize accounts payable invoices, reconcile vendor statements, and prepare tax-exempt documentation.
  • Match accounts payable invoices upon receipt through various submission methods.
  • Ensure that job-related expenses are accurately assigned to the appropriate job number or general ledger.
  • Amend and route invoices for approval as necessary.
  • Accurately record daily financial transactions using the accounting software.
  • Organize, categorize, and reconcile credit card transactions with monthly statements.
  • Facilitate weekly invoice payments via checks, electronic funds transfers, and ACH transactions.
  • Prepare weekly and monthly reports for union remittances.
  • Maintain up-to-date employee records.
  • Assist with additional administrative tasks and projects as required.
Qualifications:
  • Minimum of 5 years of proven experience in accounting or bookkeeping roles.
  • Strong grasp of fundamental accounting principles and accounts payable processes. Experience in a dynamic work environment is preferred.
