Job Overview

Position Summary

The Construction Project Coordinator plays a crucial role in managing project documentation and communication throughout the construction and closeout phases. This position involves regular interaction with the General Contractor, project management, peer reviewers, subcontractors, and suppliers to ensure the effective flow of documents and adherence to CSI procedural standards, while also customizing these standards to meet the unique needs of each project.

Key Responsibilities

  • Prepare, organize, and distribute essential project documents including Meeting Minutes, Submittal Packages, Drawings, Specifications, RFIs, Contracts, Change Orders, and Purchase Orders.
  • Develop and maintain Distribution Lists within PM Web.
  • Input new companies and update existing company information in PM Web as required.
  • Assist in the formatting and content creation of project-specific reports as needed.
  • Follow up with General Contractors, Designers, Subcontractors, and Suppliers regarding submittals, executed contracts, and change orders.
  • Compile and submit closeout documents to the owner and for archival purposes.
  • Ensure organized and detailed electronic filing of project records and email correspondence.
  • Perform additional tasks as assigned by management.

Qualifications

  • High School Diploma or equivalent is required.
  • Experience in the construction sector is advantageous.
  • 1-2 years of office administration experience is preferred.
  • Proficient in computer applications (e.g., Microsoft Office, typing) is essential.
  • Ability to adapt to the unique challenges presented by different projects.
  • Strong follow-up and organizational skills are necessary.
  • Excellent verbal and written communication skills, along with strong organizational abilities.
  • An accounting background is preferred but not mandatory.
  • Experience in the construction field is preferred but not mandatory.
