Overview: At MarBorg Industries, we pride ourselves on our commitment to the environment and our employees. The Talent Acquisition and Onboarding Assistant plays a pivotal role in managing recruitment and onboarding processes while applying fundamental HR principles. This position collaborates closely with the Talent Acquisition Recruiter and the HR Team to address personnel matters and support various projects.

Key Responsibilities:

  • Facilitate the recruitment process by sourcing and engaging potential candidates.
  • Handle inquiries from applicants via phone and email.
  • Prepare and organize new hire documentation.
  • Procure necessary supplies for onboarding materials.
  • Ensure all new hire forms are processed and follow up on any missing information.
  • Coordinate and participate in job fairs and recruitment events to enhance candidate outreach.
  • Maintain comprehensive records of recruitment activities, including interview notes and documentation.
  • Post job vacancies on various online platforms and professional networks.
  • Utilize recruitment templates to communicate with candidates not moving forward in the hiring process.
  • Assist with inquiries related to the onboarding platform to ensure timely completion of tasks.
  • Review I-9 forms for accuracy and completeness.
  • Audit onboarding tasks and documents to ensure consistency and accuracy.
  • Manage both active and terminated personnel files and HR-related documents for easy retrieval.
  • Collaborate with department managers to ensure onboarding checklists are completed.
  • Provide support for maintaining personnel data in the HRIS system (ADP).
  • Respond to departmental email inquiries and assist management and employees as needed.
  • Prepare audit reports and verify data entries related to new hires and safety records.
  • Conduct exit interviews and manage exit questionnaires for departing employees.
  • Assist with the termination checklist process.
  • Follow up on performance assessments and onboarding evaluations.
  • Deliver customer service by addressing employee inquiries regarding benefits and programs.
  • Compile and maintain employee records in both paper and digital formats.
  • Support training logistics and maintain accurate training records.
  • Continuously seek to improve the candidate experience throughout the recruitment process.
  • Perform additional duties as required to support the organization's mission and values.

Qualifications:

To be successful in this role, candidates must demonstrate the ability to perform essential duties effectively. The following qualifications are essential:

  • Fluency in Spanish, both written and spoken.
  • A minimum of two years of experience in Human Resources, Recruiting, or Training is preferred.
  • Experience in a direct labor environment is advantageous.
  • Proficiency in Microsoft Office applications.
  • Familiarity with HRIS systems, particularly ADP, is highly desirable.
  • Strong communication skills and attention to detail.
  • Consistent attendance and adherence to process guidelines.
  • Exceptional time management and organizational skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Capability to manage diverse situations with composure and urgency.

Education:

A high school diploma is required; a Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
