Job Overview

Master Trade Services, Inc. specializes in a comprehensive array of repair, disaster recovery, and construction services across Minnesota. Our organization is dedicated to employing and nurturing skilled professionals in various facets of building maintenance and construction.

We are in search of an Office Administration Manager who is not only experienced but also enthusiastic and a collaborative team member. This role is crucial to the seamless functioning of Master Trade Services and will involve close collaboration with the General Managers, Maintenance Director, Controller, and Human Resources.

Key Responsibilities:
  • Oversee and manage daily operational accounting tasks including payables, receivables, billing, inventory, and payroll.
  • Possess a thorough understanding of the ERP systems (Quickbooks & Housecall Pro) to assist staff and rectify any discrepancies.
  • Collaborate with the Human Resources Director for the onboarding of new hires, monitoring payroll and time off, and ensuring compliance with safety training for maintenance technicians.
  • Ensure comprehensive documentation of all policies and procedures, regularly reviewing staff performance in line with established operating procedures.
  • Assist in handling incoming communications and support the Maintenance Director with scheduling and reporting of work orders.
  • Work closely with the Controller to maintain accurate and up-to-date financial statements.
Qualifications:
  • Proven ability to manage multiple projects simultaneously while prioritizing effectively.
  • Technologically adept, with proficiency in Microsoft Office Suite, Adobe, and digital workload management, and a willingness to learn new software.
  • Advanced skills in MS Excel, including XLOOKUPS, SUMIF, Pivot Tables, and various formulas.
  • Strong communication skills for effective interaction with clients and colleagues.
  • A positive attitude and receptiveness to constructive feedback for ongoing professional development.
  • Analytical mindset with comfort in working with numbers and solving problems.
  • Intellectually curious and proactive in seeking out independent projects.
  • Commitment to maintaining the highest level of confidentiality.
