Job Overview

Master Trade Services, Inc. (MTS) is a prominent provider of repair, disaster recovery, and construction services across Minnesota. We are dedicated to employing and nurturing skilled professionals in various aspects of building maintenance and construction.

We are currently in search of an Office Administration Manager who is not only experienced but also enthusiastic and a collaborative team member. This individual will play a crucial role in the daily operations of MTS and will work closely with the General Managers, Maintenance Director, Controller, and Human Resources.

Key Responsibilities:
  • Oversee and manage daily operational accounting tasks including payables, receivables, billing, inventory, and payroll.
  • Possess a comprehensive understanding of the ERP system (Quickbooks & Housecall Pro) to assist staff as necessary and rectify any discrepancies.
  • Collaborate with the Human Resources Director to facilitate the onboarding of new personnel, monitor payroll and time off, and ensure compliance with safety training for maintenance technicians.
  • Ensure that all operational policies and procedures are documented and that staff performance is regularly evaluated in accordance with established standards.
  • Assist with incoming phone inquiries and support the Maintenance Director in scheduling and reporting work orders.
  • Work in close partnership with the Controller to maintain up-to-date and accurate financial statements.
Qualifications:
  • Proven ability to manage multiple projects simultaneously while prioritizing effectively.
  • Technologically proficient – familiar with Microsoft Office Suite, Adobe, and digital workload management tools, with a willingness to learn new software.
  • Advanced proficiency in MS Excel, including XLOOKUPS, SUMIF, Pivot Tables, and various formulas.
  • Strong communication skills for effective interaction with clients and colleagues.
  • Positive demeanor and receptiveness to constructive feedback essential for ongoing professional development.
  • Analytical mindset with comfort in working with numbers and solving problems.
  • Intellectually curious and self-motivated, with the initiative to pursue projects independently.
  • Ability to maintain the highest level of confidentiality.
