Work Schedule: Monday to Friday, 8 AM to 5 PM

Key Responsibilities:

  • Oversee the Clinical Team Assistants, ensuring timely completion of daily, weekly, and monthly tasks. Responsibilities include interviewing, hiring, training, and managing performance reviews.
  • Review and process medication orders, certifications, and verbal admission orders, collaborating with physicians to ensure compliance and accuracy.
  • Conduct evaluations and audits of patient charts to maintain the highest standards of documentation quality.
  • Ensure that medical records are accurately maintained to enhance quality of care, compliance, and reimbursement.
  • Monitor and follow up on unsigned physician orders, ensuring timely responses from medical professionals.
  • Facilitate bi-monthly meetings to address billing holds and collaborate with clinical leadership to resolve outstanding claims.
  • Supervise the clinical records information system, staying updated on system enhancements and maintaining operational knowledge.
  • Ensure patient charts are maintained according to organizational policies.
  • Assist the Executive Director and supervisors in supporting field staff to meet scheduling and client needs.
  • Perform additional duties as assigned.

Qualifications:

  • Three to five years of experience in clinical records management, preferably within hospice care operations.
  • Two years of managerial or supervisory experience in hospice, home care, or related healthcare fields.
  • LVN/LPN license is preferred but not mandatory.
  • Experience with Electronic Medical Records (EMR) is preferred.
  • Must possess a valid driver's license and have access to a reliable, insured vehicle.
  • Familiarity with insurance billing and ICD-9/10 coding is advantageous.
  • Strong managerial, communication, and interpersonal skills, with a willingness to learn and grow.
  • Excellent observational skills, sound judgment, and strong written and verbal communication abilities.
  • Understanding of hospice philosophy and the complexities surrounding end-of-life care.
  • Highly organized, detail-oriented, and accurate in work.
  • Knowledge of relevant state, federal, and local regulatory requirements.
  • Demonstrated organizational skills and a systematic approach to intake duties.
