Patient Services Associate

The Patient Service Associate is responsible for ensuring smooth clinic, patient, and billing flow by greeting and directing patients to their various appointments, preparing the daily clinic schedule, and updating the physicians' schedules. This role also involves maintaining patient files and records, interfacing with corporate departments, and receiving and directing patient questions to the appropriate personnel. The ideal candidate will work as a team member to facilitate patient care and optimize revenue.
Responsibilities
- Handle high-volume incoming calls and respond to patient inquiries in a timely and professional manner.
- Review patient charts and insurance referrals/authorizations to ensure proper reimbursement.
- Assist physicians and administrators with business and patient care responsibilities.
- Coordinate office communication flow and ensure effective communication with patients and staff.
- Provide exceptional customer service and maintain a caring attitude towards patients and their families.
- Greet, direct, and assist large numbers of visitors and refer them to various areas.
- Ensure accurate and up-to-date patient demographic and insurance information.
- Answer telephones using correct telephone etiquette and record legible and complete messages.
- Review patient intake information to verify insurance coverage and verify patient insurance information.
- Schedule new and follow-up appointments, including patient testing.
- Act in a non-directive, non-judgmental manner and recognize individual religious, ethical, and moral opinions and beliefs.
- Bring new ideas, a positive attitude, and lots of energy to the role.
- Maintain and record patient schedules and identify and collect co-pays, deductibles, and other payments.
- Reconcile patient payments on a daily basis and prepare billing sheets.
- Review billing sheets to ensure they contain necessary information for claims.
- Direct billing inquiries to the appropriate Regional Office.
- Ensure clinical staff submits all outpatient billing sheets daily.
- Maintain patient confidentiality.
Qualifications
- High School diploma or equivalent required.
- Three years of recent experience in a related position in a medical office preferred.
- Ability to prioritize job duties and meet deadlines.
- Ability to effectively work on multiple tasks at once.
- Superior customer service and verbal and written communication skills.
- Strong computer knowledge; experience preferred.
- Knowledge of common safety hazards and precautions to establish a safe work environment.
- Knowledge of medical terminology, obstetrical and/or perinatal coding, office billing forms, insurance, and government payer regulations and other third-party billing requirements preferred.
- Ability to work cooperatively in a team environment.
- Ability to handle stressful situations.
- Excellent organizational, time management, and attention to detail capabilities.
- Ability to travel to satellite offices during the week; mileage is reimbursable.
