Job Summary

We are seeking a highly skilled and experienced Assistant Director of Financial Aid to join our team at Northern New Mexico College. The successful candidate will be responsible for assisting the Director with the overall administration of aid programs and management of the Financial Aid Office staff.

Key Responsibilities
  • Assist the Director with day-to-day operational activities required to administer and manage state and federal grant, loan, and scholarship programs.
  • Identify problems and contribute to the development and implementation of solutions.
  • Oversee the supervision of office personnel, including student employees, and work to promulgate efficient office workflow by delegating work assignments.
  • Maintain a thorough knowledge of Title IV and state aid assistance programs and stay up-to-date with rules and regulations to ensure compliance requirements are met.
  • Assist the Director with monitoring and reconciling federal and state grants, work-study, and internal and external scholarship funds on a monthly and quarterly basis.
  • Work collaboratively with the College's Banner Administrator and IT personnel on installation timing of all Ellucian Banner Financial Aid updates and coordinate testing prior to running processes in production mode.
  • Administer the annual Banner financial aid setup and work with the College's Banner Administrator on rules and proposals used in processing financial aid.
  • Identify Banner issues related to financial aid processing, reporting systems, Banner-generated communication, budget, packaging/awarding, and disbursement of aid funds.
  • Submit tickets to Ellucian's support when required.
  • Supervise the Banner processes related to uploading FAFSA (data load) and running end-of-term Satisfactory Academic Progress process and delegate work needed to determine continued aid eligibility and communication to students.
  • Create and monitor system queries to assist with the day-to-day operation of the office, federal, state, and institutional aid processing.
  • Participate in the collection, management, and reporting of data in accordance with the objectives of the position and participate in the development and implementation of data management systems and procedures.
  • Assist the Director in preparing annual FISAP report for the U.S. Department of Education and the DEAR report for the NM Higher Education Department.
  • Work closely with the Director to meet A133 audit requirements and requests from external auditing agencies.
  • Serve as liaison with campus departments, outside agencies, and stakeholders who have an interest in the Financial Aid Office or the College.
  • Provide a lead role in advisement to students and their families regarding available financial aid opportunities, eligibility requirements, and application processes.
  • Review and assess eligibility of applications for financial aid by completing file verification involving the review of financial statements, tax return information, and other relevant documentation as required by Title IV regulations.
  • Packaging and awarding aid using BANNER software.
  • Deal with and resolve complex financial aid issues.
  • Review student academic progress to determine continued eligibility for state, federal, and individual aid programs and communicate with students when eligibility is lost.
  • Respond to inquiries and research and resolve problems related to transactions handled by the unit and serve as a liaison with other constituents in the resolution of day-to-day administrative and operational issues.
  • Participate in Financial Aid workshops and/or presentations for current and prospective students on campus and at surrounding schools and communities in Northern's service area.
Requirements
  • Bachelor's Degree
  • 4 years of progressive work experience in a college financial aid office
  • Knowledge of Title IV financial aid regulations
  • Must be proficient in using Excel
  • Experience working with Ellucian Banner Financial Aid Module or similar systems such as Ellucian Colleague
  • Preferred Qualifications: Experience with Ellucian Banner Financial Aid Module annual setup, experience using Department of Education systems such as Common Originations and Disbursements (COD) Ed Connect, National Student Loan Data System (NSLDS), and other similar systems, supervisory experience
Work Environment

Work is normally performed in a typical office environment. Occasional travel to conduct outreach activity. Must be able to work nights and weekends as required due to business needs.
