Job Summary:

The Meeting and Events Coordinator is responsible for the planning, coordination, and execution of activities and special events for Compass Group, North America. This role requires a detail-oriented individual with excellent organizational skills and the ability to work under pressure.

Key Responsibilities:

  • Manage the activation events calendar, Eventbrite listings, and monthly newsletter to ensure seamless communication with clients and stakeholders.
  • Develop and execute unique employee events and experiences to promote engagement, satisfaction, and overall well-being.
  • Create reservations within the EMS Reservation System for activities in the amenity spaces and in the Cooking School with proper coding.
  • Serve as the point person for the host during meetings, coordinating with the audiovisual team for ad hoc AV support requests.
  • Oversee the amenity spaces at designated UBS sites, performing regular walkthroughs to ensure furniture is consistently presentable and reporting maintenance faults/hazards and cleaning requests to the appropriate personnel.
  • Stay within budget limitations set by Management, ensuring invoices from vendors associated with activation events are submitted to Finance in a timely fashion.
  • Report on sales and attendance for all events and take proactive steps to increase sales and event participation.
  • Ensure seamless communication flow with clients before, during, and after the execution of their events.

Requirements:

  • Experience in corporate, conference center, or hotel events.
  • Ability to work a flexible schedule, including occasional evenings as needed.
  • Effective negotiating skills for managing outside vendors' relationships.
  • Excellent oral and written communication skills.
  • Excellent organizational skills, with the ability to work under pressure, prioritize, and multitask.
  • Strong computer skills and knowledge of office technology/equipment, with knowledge of EMS a plus.
  • Discreet, ethical, and committed to maintaining a high degree of confidentiality.
  • Punctual, dependable, and dedicated to achieving excellence, down to the smallest of details.
