Job Summary

We are seeking a highly organized and detail-oriented Practice Operations Assistant to join our team at Mass General Brigham. As a key member of our operations team, you will be responsible for providing administrative support to our physicians and staff, ensuring the smooth operation of our clinical and administrative processes.

Key Responsibilities
  • Provide exceptional administrative support to our physicians and staff, including scheduling appointments, managing calendars, and coordinating travel arrangements.
  • Manage clinical and administrative meetings calendars, ensuring timely and effective communication with patients, families, and healthcare providers.
  • Coordinate with Brigham and Women's Hospital departments, referring clinics, and physicians' offices to ensure seamless patient care.
  • Sort and review physician correspondence, maintaining accurate and up-to-date electronic files for confidential patient information.
  • Prepare and send out new patient greeting letters, ensuring all necessary paperwork is completed prior to visits.
  • Schedule new and established patient visits in Epic, diagnostic testing, and coordinate with the Operations Manager and/or clinic staff to block off physician schedules when necessary.
  • Perform demographic and insurance eligibility checks in Epic, Nehen, and Emdeon, reviewing and correcting any information found.
  • Review surgical schedules and work with the Billing Manager to ensure charges are processed correctly.
  • Ensure all physician notes are dictated and finalized within the required time period for billing purposes.
  • Perform other duties as requested within standard business hours.
Requirements
  • Bachelor's degree preferred.
  • Excellent organizational skills.
