The Executive Administrative Assistant is essential in ensuring smooth office functionality by overseeing communications, organizing meetings and schedules, and maintaining comprehensive filing systems. The ideal candidate will exhibit outstanding communication abilities, a keen eye for detail, and the capacity to manage multiple tasks effectively.
Primary Responsibilities:
- Greet and assist visitors with professionalism and respect.
- Manage phone communications, ensuring messages are accurately conveyed.
- Coordinate schedules, appointments, and meetings for senior management.
- Maintain and organize both digital and physical filing systems with care.
- Handle mail and packages, including sorting and tracking.
- Keep an organized inventory of office supplies, assisting with orders as directed.
- Support the preparation of meeting materials, including reports and agendas.
- Conduct research and compile necessary information as needed.
- Arrange travel and accommodations for executive personnel when required.
- Collaborate with other administrative staff to organize company events and meetings.
- Ensure a clean and orderly office environment, including supply organization.
- Efficiently manage incoming orders.
- Maintain an accurate inventory of supplies for purchasing needs.
- Monitor office noise levels and adjust settings for comfort as needed.
- Perform filing, scanning, and electronic documentation tasks.
- Duplicate certificates and other necessary documents as required.
- Accurately manage and reconcile credit card receipts.
- Perform additional duties as assigned.

Qualifications:
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and relevant software.
- Familiarity with office equipment such as printers and fax machines.
- Strong typing skills.
- Experience in the healthcare sector is preferred.
- Bilingual in English and Spanish is advantageous.
Educational Background:
- High school diploma or equivalent; additional education or certifications are a plus.
- Some college education is preferred.
