Job Summary
Eide Bailly is seeking an experienced Administrative Assistant to join our team in Tustin, CA. As an Administrative Assistant, you will provide administrative support to our team, including tasks such as data entry, document preparation, and communication with clients and staff.
Responsibilities
- Provide administrative support to the team, including data entry, document preparation, and communication with clients and staff.
- Utilize tax and accounting software to complete a wide range of tasks.
- Assist with new client set-ups and prepare, send, and track engagement letters.
- Act as liaison between client and Eide Bailly staff.
- Prepare completed tax returns for delivery to client and monitor client portal and process uploaded documents.
- Follow up with clients on open items and monitor jobs and communicate regularly with partners and managers.
- Prepare and assemble reports, company materials, and client documents as directed.
- Make arrangements for various client or internal staff meetings and department training via conference calls, video conferences, or in-person.
- Provide general administrative support to partners, managers, and staff with integrity and professionalism.
- Tasks include answering phones and greeting clients, typing, faxing, copying, scanning, emailing, preparing correspondence, and PowerPoint presentations, assisting with travel arrangements, preparing expense reports, etc.
- Primarily support the Outsourced and Managed Services (OMS) regional team and selected Tax Department management.
- Regular and predictable attendance in office.
- Demonstrate an ability to multi-task and meet deadlines.
- Open to new challenges and assist with special projects as requested.

- You embrace technology and can demonstrate you have the skills to use computer-based technology to complete different tasks.
- You are proficient in Microsoft Excel, including the ability to create spreadsheets, perform data entry, use basic formulas, format worksheets.
- You are proficient in Microsoft Word, including formatting, creating tables, headers & footers, and utilizing mail merge functions.
- You are proficient in DocuSign, including creating, sending, and tracking documents for e-signature.
- You are proficient in Adobe Acrobat, including creating, editing, and commenting on PDFs.
- You are proficient in Microsoft Outlook and Teams.
- You have a high school diploma and 3+ or more years of experience in administrative support and are willing to work overtime.
- Experience in public accounting administration is a plus.
- You have strong written and verbal communication skills.
- This position requires prolonged standing and sitting, some bending, stooping, and stretching, and the ability to lift 20 lbs.
